Sending enquiries to Local/International vendors/suppliers.Sending Follow up for quotations.Negotiate with vendors/suppliers for the lowest costs.Prepare comparison sheet for approval.Placing orders to approved suppliers.Follow up on orders up to delivery to warehouse.Organize the delivery of goods to customers and coordinate with courier service.Monitoring the ETA/ETD incoming and outgoing shipments (Import & export) and make sure that all shipping documents are accurate, and coordinate with shipping line regarding the cargo.Preparing documents for export shipment like invoice, packing list and certificate of origin.Applying certificate of origin to Dubai Chamber of Commerce through online.Communicate to Sales team the receipt of goods.Update customers on status of their order.Sending expected shipments details to warehouse and sales team before goods arrival.Send purchasing reports to managers showing details of all orders from placing date up to expected delivery date. Evaluate supplier performance based on quality standards, delivery time & best prices and ensure all the criteria are met.Checking incoming inspection report, delivery order, invoices, and quantity to match with the purchase order issued to supplier and submit to General Manager for signature.Submit the signed Invoices to accounts department for posting.Manages petty cash and takes full responsibility for the replenishment of the same.Provide general administrative and clerical support including mailing, scanning, faxing and copying to managementMaintain electronic and hard copy filing system.Open, sort and distribute incoming correspondencePerform data entry and scan documentsAnswer calls from customers regarding their inquiriesPrepare and modify documents including correspondence, reports, drafts, and emailsSchedule and coordinate meetings, appointments and travel arrangements for ManagersMaintain office supplies for WarehouseReviewing/answering emailsData entry and file maintenance (new item set-ups, PO tracking comments, and more as needed).Timely follow-up of priority orders and delivery appointments.Carrying out duties that may arise, or as directed, that is in support with the company.
